This Privacy Policy provides information on how WER S.r.l. processes personal data collected through the submission of interest/contact forms and event registrations, in accordance with Regulation (EU) 2016/679 (GDPR).

The Owner implements appropriate safeguards to prevent unauthorized access, disclosure, alteration, or destruction of the Data.
Data Processing and Access
Data processing is conducted using computerized or IT-enabled systems, in alignment with organizational procedures directly tied to the purposes outlined in this document. In addition to the Owner, access to the Data may be granted to:
- Authorized personnel involved in operating community activities (e.g., administrative, sales, marketing, legal, or IT system teams).
- External parties acting as Data Processors (e.g., third-party technical providers, hosting services, IT firms, communication agencies, or mail carriers), as appointed by the Owner.
An updated list of Data Processors and authorized parties is available upon request to the Owner at any time.
Processing Locations and Data Transfers
The Data is processed at the Owner's operational facilities and in all other locations where authorized parties involved in the processing are based. Depending on the User's geographic location, data transfers may result in the User's Data being moved to countries outside their own.
Purposes and Legal Basis for Data Processing
The Data concerning the User is collected to allow the Owner to provide its Service, comply with its legal obligations, respond to enforcement requests, protect its rights and interests (or those of its Users or third parties), and detect any malicious or fraudulent activity. Specifically:
- Service Provision and Communication. Managing event registrations and participation; handling contact information provided via interest or contact forms for sending information and updates regarding our services. Legal basis: execution of a contract or legitimate interests of the Data Controller.
- Marketing and Advertising. Sending promotional communications, newsletters, and information about future events, initiatives, and projects organized by WER S.r.l. Legal basis: freely given, specific, informed, and unambiguous consent by the data subject.
Compliance with Legal Obligations
We may use your Data to comply with legal obligations and orders to which we are subject, which constitute the legal basis for processing your Data. Certain legislation may require us to share your Data with public authorities.
Legitimate Interest
To the extent permitted by applicable Data Protection Law, we may need to use your Data to detect, prevent, and address fraudulent or illegal conduct, or activities that may compromise the security of our Services and Website. These purposes are based on our legitimate interest in safeguarding our interests and protecting our clients.
Retention Time
Unless specified otherwise in this document, Personal Data shall be processed and stored for as long as required by the purposes they have been collected for and may be retained for longer due to applicable legal obligation or based on the Users' consent.
Data collected for managing event registrations will be retained for the duration necessary to carry out the related activities and, thereafter, will be deleted or anonymized unless further retention is required by law or for the protection of WER S.r.l.'s legitimate interests. Data collected for marketing purposes will be retained until consent is withdrawn, except where longer retention is required by law.
Recipients of Personal Data
Personal data will be processed exclusively by WER S.r.l. internal staff. In certain cases, data may be disclosed to third-party service providers (such as those handling newsletter distribution or analytics) solely for purposes directly related to the purposes described above and in compliance with applicable laws.
Your Rights Based on GDPR
Users may exercise the following rights, to the extent permitted by law:
- Withdraw consent at any time, where consent was previously given.
- Object to processing, if processing is based on a legal basis other than consent.
- Access their Data, and obtain a copy of the data undergoing processing.
- Verify and seek rectification, to request updates or corrections.
- Restrict the processing of their Data.
- Have their Personal Data deleted or otherwise removed.
- Data portability, to receive their Data in a structured, machine-readable format.
- Lodge a complaint with their competent data protection authority.

Transfer of Personal Data Outside of the European Union
When transferring Personal Data from the EU to third countries, such transfers are conducted either in compliance with an adequacy decision issued by the European Commission, or using the standard contractual clauses (SCCs) established by the European Commission. These clauses legally bind Data recipients to process Personal Data in alignment with EU data protection legislation.
Release and Authorization for Audio/Video Filming
The candidate, in registering for the event, AUTHORIZES completely free of charge, without limitation of time, place or means, also in accordance with articles 10 and 320 of the Italian Civil Code and articles 96 and 97 of Law 22.4.1941, no. 633, Italian Law on Copyright, to the publication and/or diffusion in any form of his/her own images and filming carried out during the event.
This release to the publication of one's own data and images is granted on the assumption that the same has freely and knowingly consented to the audio/video filming, in order to allow the public knowability of the event, including through any live or deferred streaming and/or related services or news information.
Information on the processing of personal data
Pursuant to Article 13 of Regulation (EU) 2016/679 (hereinafter referred to as the “Regulation”), this information describes the methods of processing of personal data (hereinafter referred to as “Data”) of individuals (hereinafter referred to as “Data Subjects”), which are collected by WER S.r.l. according to criteria of correctness, lawfulness and transparency.

Purposes and legal basis for processing: personal data are collected, used and stored to allow the recording, publication and dissemination of images as described in the above extended disclaimer (legal basis: consent); the above data are processed with computer tools.
Nature of data: The provision of data is optional. If you do not wish to be recorded or have your image captured and disseminated, you must notify both the event organizers before the event starts or when you will show up at the event. While we will make reasonable efforts to prevent the publication of your image, we cannot guarantee its exclusion from event-related communications or other media. By attending the event, you acknowledge that your image may still appear in public materials despite these efforts.
The processed data, including images, of the audio/video shooting and recording, even in partial and/or edited or adapted form, made during the event will be processed, in full compliance with the GDPR. The data will be processed, also with the help of electronic means, by specifically appointed individuals, for dissemination and communication activities. The Images collected will be stored, including in electronic form and on any technological support for the purposes and within the limits defined above and may be disseminated in accordance with Italian Law No. 150/2000 on social networks (Facebook, Twitter, Youtube by way of example but not limited to). This authorization implies the granting of a non-exclusive, unlimited, worldwide license, transferable to third parties, for the use of the images and audio/video footage and includes the rights set forth in Articles 12 to 19 of Law April 22, 1941, no. 633, including but not limited to the following: right of publication; right of reproduction in any manner or form; right of transcription, editing, adaptation, processing and reduction; right of communication and distribution to the public, including the rights of projection, transmission and broadcasting even in a summarized and/or reduced version, by any technical means, right to keep copies of the images and audio/video footage, including in electronic form and on any technological support for the purposes and within the limits defined above. It is in any case excluded under the cited article and under Article 10 of the Italian Civil Code to make any use of the images and audio/video footage that may harm the honor, reputation or decorum of the person portrayed, filmed or recorded.
Provision of data and consequences in case of failure to provide data: Failure to provide Data may result in the inability of the Data Controller to carry out the activities covered by this policy.
Recipients or categories of recipients: Your images may be disseminated to the public through telematic publications or social media, in contexts relevant to the purposes of the processing.
Retention Period: Personal Data will be retained for a maximum period of 24 months.
Rights of Data Subjects: You will be able to assert your rights to Personal Data as recognized by Articles 15-22 of the GDPR, by email sent to the data controller.
Right of revocation of consent: You expressly manifest your free and full consent to the Processing of Personal Data according to the purposes indicated in the information notice as well as to their communication within the scope of the subjects indicated in the information notice. Please note that as a data subject you have the right to revoke your consent at any time by writing an email to info@wersrl.com. Revocation of consent does not affect the lawfulness of the processing based on the consent before revocation.
Right to lodge a complaint: You will be able to lodge a complaint with the Authority for the Protection of Personal Data if you believe that your rights under the GDPR have been violated, according to the modalities indicated on the Authority website accessible at: www.garanteprivacy.it, or to take appropriate legal action.
Method of processing: Personal data will be processed electronically and/or telematically and entered into the relevant databases and these may be accessed, and therefore come to the knowledge of, the employees expressly designated by the Owner as internal Managers and Persons in charge of the processing of personal data, which may carry out consultation operations, use, processing, comparison and any other appropriate operation also automated in compliance with the provisions of the law necessary to ensure, among other things, the confidentiality and security of the data as well as the accuracy, updating and relevance of the data to the stated purposes.
